The short version: we save inquiries you submit so our team can respond and keep track of the conversation. There are no analytics, advertising trackers, or tracking cookies. Only the private admin dashboard uses an essential sign-in cookie.
1. Who we are and what this covers
Programz (“Programz,” “we,” “us,” or “our”) is a software development agency based in Wyoming, United States. This policy covers personal information handled through our website and our communications with prospective clients, clients, and business contacts.
For privacy questions, contact hello@programz.net with the subject “Privacy request.” Programz is responsible for the personal information it uses for its own business purposes. When we process information on a client’s behalf, the client’s instructions, project agreement, and any applicable data processing agreement govern that processing. This policy does not replace a client’s own privacy notice.
2. Information we collect
Information you choose to send
If you submit an inquiry, email us, or enter a business relationship with us, we may receive your name, email address, company information, contact details, project requirements, correspondence, and information needed to administer a contract or payment. We may add internal notes, follow-up information, and the stage or outcome of your inquiry. Please do not send passwords, financial account details, sensitive personal information, or confidential project materials in an initial inquiry.
How the website form works
When you submit the inquiry form, your name, email address, selected service, and project description are transmitted to our server and stored in our lead database, together with receipt and update timestamps and an inquiry identifier. Authorized team members can review the inquiry, add notes, and record whether it moves forward. The form also works without JavaScript. It does not send your information to an AI service, save it in browser storage, subscribe you to marketing, or automatically send an email through your email application.
Technical information
Serving a website requires processing technical information such as an IP address and the requested resource. Our hosting or infrastructure provider may record ordinary server logs, including request times, browser information, referrers, and error information, for delivery, reliability, and security. To limit spam and sign-in attempts, our application keeps short-lived, pseudonymized rate-limit identifiers in server memory. Raw IP addresses are not saved in lead records. This website does not add visitor analytics.
3. How we use information
We use personal information as needed to:
- Respond to inquiries and discuss proposed work.
- Prepare proposals, manage contracts, and deliver agreed services.
- Communicate about projects, support requests, billing, and business administration.
- Maintain the security, reliability, and availability of our website and systems.
- Comply with legal obligations, maintain business records, and establish or defend legal claims.
We do not use inquiry information for an unsolicited marketing mailing list. If we introduce optional marketing communications, we will provide a separate choice and a way to unsubscribe.
Where a law requires a legal basis for processing, we rely on steps requested before entering a contract, performance of a contract, our legitimate interests in running and protecting our business where those interests are not overridden by your rights, compliance with legal obligations, or consent where required. You can withdraw consent for consent-based processing without affecting earlier lawful processing.
6. Retention and security
We keep information only for as long as reasonably needed for its purpose, legal obligations, or resolving disputes. Our usual retention approach is:
- Unconverted project inquiries and related notes: up to 24 months after the last substantive exchange, unless a shorter period is requested and no exception applies. Retention is managed through periodic review and deletion, rather than an automatic database expiry.
- Contract, billing, and accounting records: generally up to seven years after the relevant engagement or transaction, or longer where law or a legal hold requires it.
- Client project data: according to the project agreement, client instructions, and any applicable data processing agreement.
- Administrator sessions: eight hours; expired sessions are rejected immediately and periodically removed. Rate-limit entries last up to an hour and are cleared on expiry or server restart.
- Technical logs: according to the hosting provider’s configured retention and the period reasonably necessary for security and troubleshooting.
When information is no longer needed, we delete it, anonymize it, or allow it to expire through documented retention cycles. Deleting a lead removes its related notes and stage history from the live database. Copies in backups may remain until the applicable backup rotation completes and are not used for ordinary business purposes.
We use reasonable administrative, technical, and organizational safeguards appropriate to the information and work involved, including access limitations and confidentiality obligations. No storage or transmission method is completely secure. If a security incident triggers notification duties, we will provide notices as required by applicable law and our agreements.
7. Your choices and rights
You can ask us to correct your contact details, stop optional communications, or delete information we no longer need. Depending on your location, the law’s applicability, and any exceptions, you may also have rights to access, obtain a copy of, correct, delete, or transfer personal information; object to or restrict certain processing; or appeal a denied request.
Send requests to hello@programz.net. We may ask for limited information to verify your identity or an authorized agent’s authority. We will respond within the time required by applicable law. We will not discriminate against you for exercising applicable privacy rights. Some information may need to be retained for legal obligations, ongoing contracts, or legal claims; we will explain any applicable exception.
If a privacy law provides a complaint or appeal process, you may use it, including contacting the relevant supervisory authority or state regulator. If a request concerns data we hold for a client, we may direct it to that client and assist as required by our agreement and applicable law.
8. International visitors
We are based in the United States, and information you send may be processed in the United States or other locations where authorized providers operate. Privacy laws in those locations may differ from those in your country. Where applicable law requires safeguards for an international transfer, we use an appropriate lawful transfer mechanism, such as contractual protections. Contact us if you need details relevant to your engagement. We do not treat your visit alone as consent to a transfer that legally requires specific consent.
9. Children’s privacy
Our website and services are directed to businesses and adults, not children under 16. We do not knowingly collect personal information from children under 16. If you believe a child has sent us personal information, contact us so we can investigate and delete it as appropriate.
10. Changes and how to contact us
We may update this policy as our practices or legal obligations change. The effective date at the top identifies the current version. For material changes, we will provide any additional notice required by law.
